Outsourced Project Coordination for Fiber & Telecom Projects in Springfield, MO: When a Monthly Retainer Beats a New Hire

By Brad Baker, Principal Consultant · Published · 8 min read

Quick answer

A monthly coordination retainer makes sense when your fiber, cabling, or telecom projects are growing faster than the coordination capacity around them, but the workload doesn’t justify a full-time employee. Light & Tone Consultants offers three flat monthly tiers: Foundation at $2,250 for up to 30 hours ($75/hour effective), Professional at $4,200 for up to 60 hours ($70/hour), and Enterprise at $6,500 for up to 100 hours ($65/hour). Hours do not carry over, and a paid 30-Day Coordination Pilot lets you test the fit first.

Key takeaways

  • Coordination gaps show up as missed follow-ups, slipping milestones, and late closeout.
  • A retainer adds experienced capacity without adding a full-time position.
  • Three flat monthly tiers: $2,250 / 30 hrs, $4,200 / 60 hrs, $6,500 / 100 hrs.
  • Customer meetings count against monthly hours; requested travel is billed separately at 50% of the hourly rate.
  • A paid 30-Day Coordination Pilot lets you evaluate the fit before committing long term.

Signs your projects have outgrown your coordination capacity

Many telecom and infrastructure contractors in Springfield and across Southwest Missouri reach the same point: the crews are good, the work is there, but the project leader is buried in follow-ups, schedules, permits, and paperwork. Common signs include:

  • Action items and vendor follow-ups slip from week to week
  • Customers ask for status updates nobody has time to prepare
  • Permits, redlines, and as-builts lag behind the field work
  • Field leaders spend evenings on documentation instead of delivery
  • Several vendors or subcontractors are active and nobody owns the full picture

Retainer vs. full-time hire: how to decide

A full-time coordinator makes sense when the workload is steady and large enough to fill a position year-round. When workload fluctuates, or when you need someone who already understands fiber, copper, and structured cabling work, a coordination retainer is often the faster and more flexible option. You choose a monthly capacity, adjust as projects change, and get infrastructure judgment along with the follow-through.

Light & Tone puts it this way: “We are not simply an administrative resource. We bring practical infrastructure experience to the coordination process, so project leaders can make decisions with better information and field teams can stay focused on delivery.”

What a coordination retainer covers

  • Project planning, scope and sequencing review
  • Schedule, milestone, and action-item tracking
  • Vendor, subcontractor, and customer follow-up
  • Field and project communication support
  • Documentation, reporting, and closeout organization
  • As-built documentation preparation
  • Redline compilation and review
  • Right-of-way permit acquisition — application, submission, and approval tracking
  • Technical, infrastructure-focused project insight

It does not cover hands-on installation, splicing, pulling, or termination in the field. That is Track 2 Construction Support, scoped and priced separately. Coordination hours are not field labor hours.

Monthly coordination pricing

Light & Tone Consultants Track 1 monthly coordination tiers
TierMonthly capacityMonthly feeEffective rate
FoundationUp to 30 hours / month$2,250$75 / hour
ProfessionalUp to 60 hours / month$4,200$70 / hour
EnterpriseUp to 100 hours / month$6,500$65 / hour

Each tier is a flat monthly fee for up to the tier’s hours. Additional coordination hours are billed at that tier’s hourly equivalent. Hours do not carry over to the next month.

30-Day Coordination Pilot: run one month at the tier you select, then review together whether ongoing or expanded support makes sense. The pilot is a paid month at that tier, not a free trial.

How customer meetings and travel are billed

Time spent meeting, communicating, or coordinating with your customers, vendors, contractors, or stakeholders is professional service time deducted from the monthly allocation. When Light & Tone travels at your request, travel time is billed separately at 50% of the applicable professional hourly rate and does not reduce the monthly allocation. Travel expenses — mileage, airfare, lodging, meals, parking, tolls — are billed separately at cost, with personal-vehicle mileage reimbursed at the IRS standard business mileage rate. Extended or overnight travel must be approved in advance, in writing.

Worked example (Professional tier): 4 hours of travel each way to a customer meeting plus a 2-hour meeting equals 8 travel hours billed at 50% of the $70 rate ($35/hour) = $280. The 2 meeting hours deduct from the monthly allocation, and mileage or approved expenses are billed separately.
